ROJVIO™ · Business Systems Architecture · Revenue Operations

Your Business Shouldn’t Need Five Systems to Know What Happened to One Customer.

When the customer is in one tool, the schedule is in another, staff updates live in chat, proof sits in a drive, and billing happens somewhere else, the owner is left chasing answers the business should already know.

ROJVIO™ brings the customer, team, workflow, proof, billing, and owner visibility into one operating environment built around your industry—then personalized to your business.

Before, we connected the right tools. Now, we build the operating environment around your business.

The Owner Should Not Be the Integration

The Work Is Happening. Why Are You Still Chasing the Update?

If you still have to ask where the customer stands, who owns the next step, whether the job was completed, where the proof went, or why the invoice is not ready, the problem is not a lack of effort. The operation is fragmented across systems that were never designed to work as one business.

  • Customer information is entered once, then re-entered because the next system cannot use it
  • Important staff updates live in chats or messages instead of the customer or job record
  • Invoices are rebuilt manually even though the customer, work, pricing, and proof already exist
  • Owners still chase status, exceptions, and evidence because no single view shows what is happening now

The goal is not fewer apps for the sake of fewer apps. The goal is fewer gaps between the customer, the team, the work, the proof, the money, and the owner.

ROJVIO™ · Same Bones. Different Business.

One Operational Principle. Not One Generic System.

An HVAC company should not operate inside the same screens as a cleaning company, an automotive shop, or an independent seller. ROJVIO™ keeps the operating backbone connected while the tabs, roles, statuses, rules, terminology, approvals, and reports are shaped around the industry first—then personalized to the business.

01

Intake & Customer Record

A lead, order, booking, or service request enters once and stays connected to the right customer, history, documents, and prior activity.

02

Ownership

The work is assigned to the right employee, technician, department, location, or responsible team—with clear accountability.

03

Workflow & Execution

Status, approvals, next actions, and business rules guide the work while the responsible person updates the same operational record.

04

Communication & Proof

Customer updates, internal messages, photos, notes, approvals, timestamps, signatures, and completion evidence stay attached to the work.

05

Billing

Recorded job or order data can carry forward into invoices, payment records, receipts, and reconciliation without rebuilding information.

06

Reporting & Owner Visibility

Management sees status, exceptions, history, revenue activity, and operational evidence from the same source of truth.

INTAKE → OWNERSHIP → EXECUTION → PROOF → BILLING → VISIBILITY

What ROJVIO™ Is

A Personalized Operating Environment — Not Another Generic CRM.

ROJVIO™ connects the customer experience, staff or technician work, back-office control, operational records, proof, billing, and management visibility around one business workflow. The industry defines the operating model. Your business defines the roles, rules, tabs, approvals, terminology, and reporting inside it.

Your business should not work around software. ROJVIO™ should work around your business.

Your ROJVIO™ environment can bring together only what your operation needs

  • Customer App / Portal
  • Staff / Technician App
  • Back-Office Command Center
  • CRM & Workflow
  • Billing & Invoicing
  • Management Reporting

If your industry needs a specific workflow, screen, report, or tab, we build around that requirement instead of sending you to another generic subscription by default.

One Business · Multiple Experiences · One Source of Truth

Everyone Gets the Screen They Need — and Nothing They Don’t.

ROJVIO™ is role-specific by design. The customer should not see the back office. The technician should not see management-only data. The owner should not dig through staff screens. Each role gets the experience it needs while one operational record connects the business underneath.

Customer

  • Request, order, book, or submit
  • See the information meant for them
  • Track progress and approvals
  • Receive proof, documents, and payment status

Back Office

  • Receive and verify intake
  • Assign or reassign responsibility
  • Control workflow, pricing, and schedule
  • Prepare billing from the same record

Staff / Technician

  • See assigned work and job details
  • Update status from the field
  • Message the office about delays, parts, approvals, or exceptions
  • Upload notes and completion proof

Owner / Management

  • See what is happening now
  • Review delays and exceptions
  • Verify operational proof
  • See history, billing, and reporting
For the customerSimple access, clear status, and fewer reasons to call just to ask what is happening.
For the operationMessages, status changes, proof, and billing stay attached to the same job or order record. Invoice data can populate from work that is already recorded.
For the ownerYou do not need eyes everywhere. You need visibility everywhere.

Why Antonette

I Didn’t Build ROJVIO™ From a Theory.

I spent years inside real client operations—choosing the right CRM, building automations, improving customer journeys, and supporting the day-to-day reality behind the software. Managing 45 client accounts across 15+ industries taught me which problems repeat and which requirements must remain specific to the industry.

That experience became ROJVIO™. In 2026, previous clients are beginning to transition from connected third-party tools into personalized operating environments built for their industry first, then tailored to the way their own business works. The principle has never changed: technology should make the customer experience clearer and the business easier to run.

The question behind every recommendation

How does this create a better experience for the customer?

Businesses do not grow because they buy more software.

They grow because
customers trust them.

Customer-First Improvement

Listening Is Where Every Improvement Begins.

Customer conversations give us something more useful than assumptions: evidence. That evidence shapes the systems, communication, and improvements that come next.

Real Businesses. Different Revenue Gaps.

Selected engagements showing the operational and revenue problems we identified, what changed, and the results that followed. These are the client experiences that informed how we work today.

HVAC technician servicing an outdoor air conditioning unit

HVAC

Business Problem

The company operated in a high-demand market and already had strong visibility and referral potential. The larger challenge was customer retention. Customers could use the company once, then choose another HVAC provider the next time service was needed.

Customer and Operational Risk

The technical work itself was not the primary issue. The bigger source of frustration appeared around the service experience: unexpected costs, technician arrival times, difficulty scheduling, unanswered calls, limited updates, unclear expectations, and delays when parts or supplies were unavailable.

Our Approach

Rather than assuming the company simply needed more advertising, we looked at why existing customers might not return. With the client's cooperation, I spoke directly with eight customers and used those conversations to identify recurring friction points across the customer journey.

Operational Outcome

The focus shifted from technical service delivery alone to the experience surrounding it. By approximately Month 6, the client was receiving strongly positive customer feedback following the operational changes.

Before

Strong technical capability and market demand, but customer frustrations around pricing, scheduling, communication, and service coordination could weaken repeat business.

After

A more structured customer journey with clearer expectations, stronger communication, improved service coordination, and more consistent customer feedback.

Professional landscaping team working on a residential property

Landscaping

Business Problem

The owner came in looking for better advertising performance. He had previously spent roughly $700–$1,000 per month on advertising while seeing very few additional opportunities, making the cost feel high relative to the work being generated.

Customer and Operational Risk

Advertising was only part of the problem. The company had a small team, limited equipment, and many possible landscaping services. More leads without understanding profitability, customer demand, and operational capacity could create pressure without sustainable growth.

Our Approach

We used the first three months to study advertising performance, customer demand, requested services, project value, seasonality, competitors, team capacity, and equipment limitations before changing the growth strategy.

Measured Outcome

Monthly jobs increased from approximately four to eight by Month 5. By Month 6, the business was consistently closing approximately two to three jobs per week while increasingly prioritizing higher-value projects.

Results at a Glance

Professional automotive customization and repair shop

Automotive & Motorsports

Business Problem

The company was already an established automotive business with a strong physical location and multiple services. The initial engagement focused on increasing visibility and generating more customer inquiries through Google Ads.

Customer and Operational Risk

As inquiries increased, a bottleneck became visible. One primary business phone number and one staff member meant only one live call could be handled at a time. Missed calls, booking conflicts, and manual branch coordination could interrupt the path from inquiry to appointment.

Our Approach

Rather than adding another phone number or replacing the company's existing tools, we strengthened the current setup with missed-call text recovery, a personalized AI knowledge base, scheduling support, and branch-aware booking guidance.

Operational Outcome

Customers gained a clearer path from inquiry to availability and booking, while staff carried less manual coordination across calls, schedules, services, and branches.

Before

One business line created missed-call bottlenecks, booking conflicts, and manual coordination between services and branches.

After

Missed callers could continue by text, receive service and scheduling assistance, and be guided toward available times or alternate branches.

About these case studies: Client and customer information remains confidential. Access to a client's systems, workflows, or operational data as part of an engagement does not make that information ours to publish. Case studies therefore focus on the business challenge, the work performed, and outcomes that can be shared without exposing private operational or customer data. About Antonette Castorico

Business Systems Architecture That Starts With the Customer.

My career began in customer operations, where I spent years speaking directly with customers across different industries. Those conversations taught me something simple: customers rarely expect a business to be perfect. They want clarity, reassurance, and confidence that someone is listening.

That customer-first mindset eventually led me into account management, Revenue Operations, workflow design, automation, and business operations. But even as the tools changed, the principle stayed the same: systems should make the customer experience better, not more complicated.

Over the years, that work grew into managing 45 client accounts across 15+ industries—selecting the right CRM, building automations, improving customer journeys, and connecting the systems each business needed at the time. Those years gave me a clear view of the problems that repeat across businesses and the requirements that should never be forced into a one-size-fits-all platform.

In 2026, that experience became ROJVIO™. Previous clients are beginning to transition from connected third-party tools into personalized operating environments built around their industry, roles, workflow, customer journey, and management needs. Software is still never the starting point. We begin with the business, then build what belongs there.

Every Customer Deserves to Be Heard.™ My role is to make that principle operational — easier for the customer, clearer for the team, and visible to the owner.

One practice has remained constant.

I do not stop listening after the system goes live.

Implementation establishes the baseline. During ongoing advisory, customer feedback and business-performance signals can continue across the year so we can see what changes, what repeats, and what only appears in specific months or seasons.

Those findings are brought into the operating review so the next decisions are based on evidence—not simply the loudest recent incident.

Confidentiality Matters
